Frequently asked questions

Everything about TicNote Card, TicNote Pods and TicNote AI in one place.

General questions

What makes TicNote different from other AI recorders?

TicNote is an ecosystem of smart devices and a cloud software platform created by Mobvoi Inc., a public international technology company listed on the Hong Kong Stock Exchange. Its strategic investors include Google and Volkswagen Group.

Mobvoi has been developing its own generative AI and voice interaction technologies for many years. The company built the general-purpose language models UCLAI and Sequence Monkey, and more than 10 million people have used its software and hardware. So TicNote isn't the only product of a small startup: it comes from an experienced public AI company with its own models, voice technologies and cloud infrastructure.

What sets TicNote apart is that it isn't just a voice recorder with transcription. It's a single agentic AI ecosystem that covers the whole cycle of working with information:

  • TicNote Card was the first ultra-thin agentic AI voice recorder combined with a cloud knowledge base and an AI agent
  • Shadow AI goes beyond transcripts and summaries: it works across multiple meetings and documents at once, finds connections, runs Deep Research, and creates reports, presentations, PRDs and other ready-to-use materials
  • TicNote Pods were the first all-in-one earbuds that work as both a work headset and a recorder for in-person meetings, phone calls and online conversations
  • TicNote Pods 4G were the first 4G earbuds for AI note-taking: a built-in eSIM lets them upload recordings to the cloud and deliver Live Summary without a smartphone nearby
  • Recordings from TicNote Card, TicNote Pods and other sources go into one account, where they are combined with your documents to build a long-term knowledge base
  • The system supports transcription in more than 120 languages, real-time translation, speaker identification, professional templates, projects, mind maps, Aha Moments, and connecting external assistants through TicNote API Skill

The app and web version are available in many languages. Every device comes with 600 transcription minutes and 1,500 AI credits each month.

TicNote's strength is the combination of dedicated devices, its own cloud system, a full AI agent and a shared knowledge base. Instead of stopping at a transcript and summary of a single meeting, TicNote AI helps you build up knowledge, find connections between materials, and turn conversations into concrete work results.

What's the difference between TicNote Card and TicNote Pods? Which should I choose?

TicNote Card is the first credit-card-sized AI voice recorder: 3 mm thin, with 64 GB of storage and three microphones. It's ideal for in-person meetings, lectures and similar settings. It doesn't always record phone calls perfectly without speakerphone, because it records through its microphone and the vibration of the phone's body. It can record calls on a computer only if they're on speaker.

TicNote Pods are all-in-one wireless open-ear earbuds that can record. Choose Card for a compact device to record in-person meetings and lectures, and Pods for mobility, work, and recording any conversation: in person, online and over the phone.

Ideally, have both Card and Pods: you can leave TicNote Card recording a lecture or seminar while you keep working with TicNote Pods. Recordings from different devices can be uploaded one after another to the same account.

Once registered to your account through a smartphone, TicNote Pods 4G can send files for processing directly over 4G networks. You get the transcript and a meeting summary in your chosen template fully automatically. 4G connectivity for TicNote Pods 4G is available in supported countries only; elsewhere, Pods 4G work over Wi‑Fi just like the standard model. If you're interested in TicNote Pods 4G, write to us at support@ticnote.eu.

Can TicNote record phone calls and online meetings?

Yes, but how you record depends on the device you choose.

TicNote Card has no magnetic mount of its own. To record a phone call, place it in the dedicated TicNote Card case, which has a MagSafe-compatible magnet and an opening over the microphone, and set the switch on the device to phone call mode. The device captures the conversation through its microphone and the vibration of the phone's body. An extra case on the phone itself noticeably reduces quality, so for regular recording without speakerphone it's best to attach the TicNote Card case directly to the phone. Calls on speakerphone record much better.

TicNote Pods are ideal if you often record phone calls and online meetings. They record the audio coming directly into the earbuds, so you can capture both sides of the conversation without speakerphone. Recording works even when you use just one earbud. Pods are also convenient for meetings in Zoom, Microsoft Teams, Google Meet and other services. You can record in-person meetings with Pods using the microphones in the charging case.

After syncing, you can transcribe, translate, summarize and analyze the recording with the AI agent.

Before you start recording, follow the applicable laws and privacy rules. Where required, let the other participants know in advance and get their consent.

Do I need a subscription, and how much does it cost?

Every device comes with a free starter plan that includes, every month, 600 minutes of transcription and meeting summaries in your chosen templates, many free AI features, and 1,500 AI credits for the AI agent to handle extra AI tasks beyond transcribing and summarizing meetings. If you use TicNote heavily, you can buy a monthly or annual Pro or Business plan on our website, add packs of minutes and AI credits, and more.

For current prices and plan details, see TicNote plans.

Do the 600 minutes and 1,500 AI credits renew every month? Is there a daily limit?

Free minutes and AI credits are added every month. Minutes are the length of audio you can transcribe and summarize during the billing period. AI credits are used for extra tasks you can give the AI agent for any meeting. How many credits a task uses depends on how complex it is and which AI model you choose to run it (some AI models use more credits than others).

You can use all your minutes and AI credits at once; there's no daily limit. Before transcribing, we recommend removing long pauses or unneeded parts of the recording, automatically or manually, in the TicNote app's audio editing mode. This helps your minutes go further.

All other features of your plan stay available even if you've used up this month's transcription minutes. Three years after a device is activated, only the free plan with 300 minutes per month and no AI credits will remain available for its serial number.

For current prices and terms, see TicNote plans.

If I don't use all 600 minutes in a month, do the rest carry over?

No, unused free minutes don't accumulate or carry over. You get 600 minutes again every month.

For example, if you used 300 of your 600 minutes, 30 calendar days after your account was activated your balance resets to 600 minutes, not 900.

This approach lets Mobvoi offer one of the most generous free monthly plans in its category.

Can I use TicNote Card and TicNote Pods without a paid plan?

No paid plan is needed, either to record or to store and use the original audio files.

Even if your free minutes and credits have run out and you can't buy a paid plan or an add-on pack, TicNote Card and TicNote Pods still work as full voice recorders. You can:

  • Record in-person meetings, lectures and interviews
  • Record phone calls and online meetings
  • Transfer recordings to the app and TicNote Cloud
  • Listen to and store recordings that haven't been transcribed
  • Export, forward and share audio files

How long you can record doesn't depend on your transcription minutes or AI credits. It's limited only by battery charge and the device's available storage.

The free monthly plan includes 600 minutes of transcription and summaries and 1,500 AI credits. These limits apply only to AI processing:

  • Minutes are used for transcription and related processing of recordings
  • Credits are used when the AI agent performs extra tasks

If you run out, new recordings are still saved, just without transcription. You can process them later, after your next monthly free allowance or after buying an add-on pack or a Pro or Business plan.

Which features stay free three years after activation? Can I still record audio?

Yes, the device will still record audio. Three years after activation, the free plan changes: instead of 600 transcription minutes and 1,500 AI credits, you get 300 minutes per month with no AI credits.

If you need more, you can switch to a paid plan.

Can I use my own ChatGPT, Gemini or other AI subscription instead of a TicNote AI plan?

No. A subscription to ChatGPT, Gemini, Claude or another third-party AI service doesn't replace a TicNote AI plan and doesn't add transcription minutes or AI credits to your account.

If you like, you can export a recording, transcript or summary from TicNote and upload it to a third-party AI service yourself. In that case, processing follows that service's rules, pricing and privacy policy.

The official TicNote API Skill, available on the Pro and Business plans, does something different: it lets Codex and other compatible AI assistants find and work with materials inside your TicNote knowledge base. Transcription and other operations still run within the features and limits of your TicNote AI plan.

Do I need an internet connection to record? Where are my recordings stored?

You don't need an internet or Wi‑Fi connection to record. TicNote Card and the TicNote Pods charging case save audio to internal storage, so you can record meetings, lectures and conversations offline.

When you connect the device to your phone, recordings transfer to the app over Bluetooth or Wi‑Fi. You need the internet later, to upload materials to TicNote Cloud and for transcription, translation, summaries and the AI agent.

The original recording is stored on the device first, and after syncing it becomes available in the app and TicNote Cloud. Audio files, transcripts and other materials are encrypted in transit and at rest.

How does TicNote AI protect my data and privacy?

Audio recordings, transcripts and other materials are encrypted in transit and at rest. Encryption is used both when data moves between the device, the app and the cloud, and when it's stored in TicNote Cloud.

Your workspace is private by default. Only the account owner and the people they choose to share with through collaboration features can access its materials.

Using AI models through TicNote AI adds an extra layer of anonymity: requests to third-party AI models go through Mobvoi's API rather than being sent directly by you.

You can export your materials, delete individual recordings, or clear your data from your cloud account. Your audio recordings, transcripts and documents are not used to train public AI models.

When working with confidential information, we recommend also restricting access to projects, keeping track of sharing links, and deleting materials you no longer need to keep.

Questions by profession

Who are TicNote devices best for?

TicNote is useful for anyone who regularly works with spoken information and doesn't want to spend time taking notes by hand, transcribing recordings, or hunting for the parts that matter. TicNote devices are a simple way to bring AI into the everyday work of most professionals and students.

The devices are especially useful for:

  • Managers, entrepreneurs, and executives
  • Sales specialists, consultants, and account managers
  • Lawyers and attorneys
  • Journalists, researchers, and interviewers
  • Teachers and students
  • Doctors and other specialists who need to capture what was said in a conversation
  • Writers, bloggers, and content creators
  • Project teams that hold regular meetings and online calls

TicNote Card works best for in-person meetings, lectures, and interviews when you need a compact standalone recorder. TicNote Pods are especially handy for phone calls, online meetings, working on the go, and whenever you want the same earbuds for talking, recording, and listening.

Once a recording is transferred, TicNote AI creates a transcript and a summary and highlights decisions and tasks. The AI agent helps you search across several meetings at once and turn your saved material into documents, reports, and other work results.

How does TicNote help managers, founders and executives?

Having TicNote in the room changes how people approach discussions and agreements. When everyone knows that decisions, assignments, and deadlines will be recorded accurately, meetings become more focused and personal accountability goes up. Managers get clearer ways to follow up, and the risk of forgotten or misread agreements drops noticeably.

TicNote also takes much of the routine work around meetings, negotiations, and follow-up off a manager's plate.

Your device, TicNote Card or TicNote Pods, records an in-person or online meeting. Once the audio is transferred, TicNote AI automatically creates a transcript and a structured summary. Depending on the template you choose, it can highlight:

  • Key points and decisions made
  • Tasks, owners, and deadlines
  • Open issues and risks
  • Ideas that need further discussion
  • Next steps for the project

If you missed a meeting, you can quickly read the summary or ask the AI agent specific questions about the conversation without listening to the whole recording.

You can sort material into projects and build a shared knowledge base. The Shadow AI agent can search several meetings at once, compare agreements across different periods, and use them to create reports, documents, presentations, and mind maps.

This helps managers make decisions faster, keep track of tasks, and keep a structured history of the company's discussions.

How does TicNote help journalists and interviewers?

TicNote saves you hours of transcribing interviews by hand and helps you turn a conversation into usable material faster.

TicNote devices can record in-person conversations, phone calls, and online interviews. Once the audio is transferred, TicNote AI creates a transcript with speaker labels and timestamps, plus a short summary of the main topics and points.

The Shadow AI agent helps you:

  • Quickly find the passages and quotes you need in an interview
  • Ask questions about what was said in a recording
  • Pull out key facts, names, dates, and topics
  • Compare answers across several interviews
  • Create an article outline, a background brief, a set of quotes, or a first draft
  • Find connections between recordings gathered for the same story

Support for 120+ languages and live translation is especially useful when you work with speakers of other languages. TicNote Card is convenient for in-person interviews, and TicNote Pods for phone calls, video calls, and working on the go.

TicNote Pods 4G can send recordings to the cloud over a mobile network on their own, without connecting to a phone, which is handy for reporters working in the field. 4G connectivity is available in supported countries only; elsewhere, the device can sync over Wi‑Fi.

Before publishing exact quotes, names, and figures, we recommend checking the transcript against the original audio.

Is TicNote a good fit for lawyers and legal teams?

TicNote helps lawyers keep a complete record of client communication and spend less time preparing minutes, memos, and follow-up documents.

You can use the device during consultations, negotiations, client interviews, internal meetings, and other conversations where recording is permitted. Instead of taking notes by hand, you get an audio recording, a transcript with speaker labels, and a structured summary.

TicNote helps you:

  • Pull out facts, dates, amounts, obligations, and deadlines
  • Build a timeline of events
  • Record each party's position and the agreements reached
  • Find specific statements and contradictions
  • Put together a list of questions, documents, and next steps
  • Compare information from several meetings on the same case

You can add related recordings and documents to a project and then ask the AI agent questions across all of that material at once. From there, Shadow AI can draft a report, meeting minutes, a list of risks, or questions for the next consultation.

TicNote Card is convenient for in-person meetings, and TicNote Pods for phone consultations and online negotiations. You can also record in-person meetings with the microphones in the Pods charging case.

When you handle privileged information and personal data, set rules for storage and access in advance, and make sure any recording complies with the law and professional ethics. Always check AI conclusions and exact wording against the original material.

How can students, teachers and researchers use TicNote?

TicNote turns lectures, seminars, and class discussions into a structured knowledge base you can come back to at any time.

A student can record a class and then get:

  • A full transcript of the lecture
  • A short summary of the topic
  • Key definitions, points, and conclusions
  • A mind map of the material
  • A list of the dates, names, formulas, or sources mentioned
  • Questions for self-testing and exam prep

You can organize recordings by subject and study project. Before an exam, there's no need to re-listen to dozens of hours of audio: just review the summaries, find the topic you need, or ask the AI agent a question across every lecture in the course. Shadow AI can also explain a difficult passage in plain words, compare several lectures, or put together a revision plan.

Support for 120+ languages and live translation is useful when studying abroad, watching lectures in other languages, and learning languages.

Teachers can use TicNote to review their own lectures, prepare notes and handouts, and create tests, lesson plans, and answers to students' frequently asked questions. Recordings of seminars and discussions help capture good ideas and follow how a class project develops.

TicNote Card can sit next to the lecturer to record a class, while TicNote Pods suit online classes, webinars, and working through video lessons on your own. Before recording a class, get the teacher's permission and follow your school's rules.

Can my team work together in TicNote AI?

Project work and building a shared knowledge base are among the key features of TicNote Cloud.

You can group recordings, transcripts, summaries, and uploaded documents into projects by client, product, area, or team. That way material isn't scattered, and it forms a single history of discussions and decisions.

Team members can work on the material together, and the Shadow AI agent helps:

  • Search across several meetings and documents at once
  • Find earlier decisions and agreements
  • Compare discussions from different periods
  • Collect tasks, owners, and deadlines
  • Prepare reports, presentations, specifications, and PRDs
  • Create summary documents for an entire project
  • Bring new team members up to speed quickly

Instead of holding another meeting, a team member can open the project, read the summaries of earlier meetings, or ask the AI agent a specific question. The answer is based on the saved material, and you can jump to the original passage.

You can export results to common formats and send them to other work tools, including Notion and Slack. This turns TicNote from a simple recorder into your team's shared memory and a workspace for moving the project forward.

You can also connect TicNote to CodeBanana.com, a new Mobvoi business platform where people and AI agents work together. CodeBanana brings team discussions, project spaces, and task execution into one place: agents can analyze material and create documents and other work results, and the knowledge you build up becomes available to the whole department or team.

Does TicNote help when working with international partners?

TicNote helps you understand the other side during negotiations and keep an accurate record of the conversation, even when participants speak different languages.

During a meeting, the app can show the original speech and a live translation on screen. This feature supports more than 20 languages, including English, Chinese, German, French, Spanish, Italian, Portuguese, Japanese, Korean, Russian, and others.

After the meeting, TicNote lets you:

  • Get a full transcript and translation of the conversation
  • Create a summary in the language you need
  • Pull out agreements, tasks, deadlines, and owners
  • Draft a follow-up email
  • Put together bilingual minutes or a report
  • Ask the AI agent questions about the conversation in your own language
  • Combine material from several international meetings into one project

Transcription and post-meeting translation support more than 120 languages. Before a negotiation, you can add company names, participants' names, and industry terms to the glossary to improve recognition accuracy.

TicNote Pods are especially convenient for international phone calls and online meetings, since they record the audio coming straight into the earbuds. You can use the charging case for in-person negotiations.

When agreeing on prices, legal terms, technical specs, and other critical details, we recommend checking the translation and transcript against the original audio.

Can TicNote AI work as my personal assistant?

The TicNote AI ecosystem combines recording on compatible devices with AI processing of your material, and handles nearly the whole cycle of working with information before, during, and after a meeting.

It can:

  • Take in a recording of an in-person meeting, phone call, or online call from TicNote Card, TicNote Pods, or another compatible source
  • Turn speech into text and label each speaker
  • Create a summary using a professional template of your choice
  • Highlight decisions, tasks, owners, and deadlines
  • Translate the conversation and prepare bilingual material
  • Organize recordings and documents into projects
  • Find a specific fact or agreement among past meetings
  • Prepare a report, email, presentation, mind map, or other document

The Shadow AI agent works not just with a single recording but with your entire knowledge base. You can ask it questions in plain language, for example to find every agreement with a particular client, compare several meetings, or collect the tasks from the past week.

Your material syncs between the mobile app and the web version, so your assistant is available on both your phone and your computer. The more useful material you organize in TicNote projects, the more context the AI agent has and the more helpful it becomes.

You spend less time taking notes, searching for information, and preparing documents, and important decisions and ideas aren't lost once the conversation ends.

TicNote Pods headphones

What makes TicNote Pods different?

TicNote Pods combine a work headset, earbuds, and a voice recorder for almost every kind of conversation.

  • Phone calls and online meetings: Pods record the audio coming straight into one or both earbuds, so both sides of the conversation are captured without using speakerphone.
  • In-person meetings, lectures, and interviews: when both earbuds are in the charging case, recording runs through the case's built-in microphones.
  • All-day wear: the open-ear design doesn't block your ear canal or create pressure inside the ear, so you can still hear colleagues and what's going on around you. Flexible ear hooks help the earbuds stay securely in place.
  • Phone and computer at the same time: Bluetooth Multipoint keeps you connected to two devices at once and switches automatically between a call and an online meeting.
  • One TicNote AI system: once a recording is transferred, you get transcription, translation, summaries, professional templates, and the Shadow AI agent

TicNote Pods 4G can also send recordings to the cloud through a built-in eSIM as they're being made and create a Live Summary without a phone nearby.

The one real trade-off is music. The open-ear design is great for work conversations, podcasts, audiobooks, and background listening, but it doesn't offer the same noise isolation and bass depth as dedicated in-ear or over-ear audiophile headphones.

Can I use TicNote Pods as regular wireless earbuds?

TicNote Pods work as regular wireless earbuds, and their open-ear design makes them well suited to work conversations and long listening sessions while staying aware of your surroundings.

The earbuds are very light, you barely notice them even after hours of wear, and they don't block your ear canal or create pressure inside the ear. Ear hooks help them stay securely in place while you work or move around. You can still hear colleagues, announcements, traffic, and other important sounds around you.

With TicNote Pods you can:

  • Take phone calls
  • Join Zoom, Microsoft Teams, Google Meet, and other online meetings
  • Listen to podcasts, audiobooks, voice messages, and music
  • Hear navigation directions
  • Use your phone's voice assistant

Touch controls let you answer and end calls and control playback without taking out your phone. Switching between listening, calls, online meetings, and recording happens automatically depending on what you're doing.

That said, TicNote Pods aren't dedicated audiophile headphones. The open-ear design keeps you comfortable and aware of your surroundings, but by its nature it doesn't offer the same noise isolation, bass depth, and immersion as good in-ear or over-ear closed-back models.

So TicNote Pods are especially good for business conversations, long workdays, calls, online meetings, podcasts, and background music. If your main goal is highly detailed music with deep bass and full isolation from the outside world, dedicated music headphones are the better choice.

You don't need a paid plan or transcription minutes to use TicNote Pods as a regular Bluetooth headset. A subscription and AI credits are only used for processing recordings: transcription, translation, summaries, and working with the AI agent.

Are TicNote Pods comfortable with glasses and for all-day wear?

Yes. TicNote Pods are designed for long working days and generally work well with glasses.

Each earbud weighs about 7 grams. Soft, flexible hooks spread the weight around the ear, stay out of the ear canal, and don't create pressure inside it. Thanks to the open-ear design, you can still hear colleagues, announcements, and other sounds around you without taking the earbuds off.

The ear hooks keep Pods secure while you walk and go about your day. They don't sit deep in the ear and don't fall out with normal head movements, so they suit long calls, online meetings, and listening to content.

You can comfortably wear the earbuds with most frames. With especially thick or wide temples, you may need to adjust the hook slightly so the frame and the earbud don't press against each other. The best position depends on the shape of your ear and glasses: you can place the earbud's hook slightly below or outside the temple of your glasses.

Their light weight, open-ear design, and secure fit make TicNote Pods especially comfortable for people who spend a lot of time on calls and online meetings and still want to stay aware of their surroundings.

Can TicNote Pods connect to a phone and a computer at the same time?

Yes. TicNote Pods support Bluetooth Multipoint and can stay actively connected to two devices at once, for example a phone and a laptop.

This is especially handy during the workday:

  • Join Zoom, Microsoft Teams, or Google Meet on your computer
  • Stay connected to your phone so you don't miss incoming calls
  • Take a phone call through the same earbuds
  • When the call ends, go back to your computer without reconnecting your Pods

The earbuds switch smartly between active audio sources. Multipoint doesn't mix audio from both devices: TicNote Pods play and record audio from whichever device you're using at the moment.

Do TicNote Pods work without a phone? How do the Wi‑Fi and 4G versions differ?

Yes. Both TicNote Pods Wi‑Fi and TicNote Pods 4G can record in-person meetings without a phone nearby.

TicNote Pods Wi‑Fi save the recording to the device's built-in memory. You don't need a phone or internet connection while recording. Once your phone is nearby and the connection is back, you can transfer the file to the app and TicNote Cloud for transcription, translation, summaries, and working with the AI agent.

TicNote Pods 4G also have a built-in eSIM and a mobile module in the charging case. After initial registration and setup, they can send recordings to the cloud over 4G on their own, without a phone nearby and without Wi‑Fi. This means transcripts and summaries can be ready almost as soon as the meeting ends.

In short:

  • Pods Wi‑Fi record on their own, but need a connection to your phone or an available network for syncing and AI processing afterward
  • Pods 4G can record, upload files to the cloud, and start processing on their own over the built-in mobile connection
  • If there's no network, both versions keep recording locally, so your audio isn't lost

Mobile connectivity for TicNote Pods 4G is available in supported countries only. Elsewhere, Pods 4G can work over Wi‑Fi just like TicNote Pods Wi‑Fi.

What is Live Summary, and can TicNote Pods transcribe and translate live?

Live transcription and translation are available with TicNote Card and TicNote Pods Wi‑Fi when the device is paired with a phone that's connected to the internet. During the conversation, you can read the recognized speech, the translation, or both at once in the app.

Live Summary is a more advanced feature of TicNote Pods 4G. Rather than just showing the full text of the conversation, it analyzes it during the meeting and builds a summary that updates as you go:

  • Main topics and key points
  • Decisions made
  • Agreements
  • Tasks and next steps

When you stop recording, Quick Summary prepares a final meeting summary almost immediately.

The main difference is what you get:

  • Live transcription shows exactly what people are saying
  • Live translation shows that speech in the language you choose
  • Live Summary highlights the meaning, decisions, and tasks before the meeting is even over

According to current information from the manufacturer, Live Summary during recording and Quick Summary right after it are features of TicNote Pods 4G. TicNote Card and Pods Wi‑Fi also create transcripts, translations, summaries, and task lists, but the final summary is created after the recording ends and is transferred for processing.

Pods 4G send audio to TicNote Cloud through the built-in eSIM and can create a Live Summary without a phone nearby. If the mobile connection drops for a while, the original audio keeps being saved to internal memory.

4G connectivity for TicNote Pods 4G is available in supported countries only. Where it isn't available, TicNote Card and Pods Wi‑Fi give you live transcription and translation through your phone, and the summary is created after the recording ends.

Which TicNote Pods should I take travelling: Wi‑Fi or 4G?

It depends on where you plan to use the device and whether you need to send recordings to the cloud without a phone.

TicNote Pods Wi‑Fi are the best choice for most people who usually have a phone or Wi‑Fi nearby. Recordings are saved to the case's internal memory and then transferred to the app through your phone or an available Wi‑Fi network. This version works well for business trips, online meetings, phone calls, and in-person conversations.

TicNote Pods 4G are built for maximum independence. After initial registration in the app, the built-in 4G module and eSIM let you send recordings for processing directly over the mobile network, without connecting to a phone or Wi‑Fi. You can get your transcript and summary automatically shortly after the meeting ends.

The 4G version is especially handy for:

  • Journalists and people who work in the field
  • Consultants who are always moving between clients
  • Managers with lots of meetings while traveling
  • Anyone who wants recordings uploaded automatically without involving a phone

Where TicNote Pods 4G connectivity works

The manufacturer currently lists 4G/eSIM support in the following countries:

  • North America: the United States and Canada
  • Europe: Austria, Belgium, Bulgaria, Croatia, Cyprus, the Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, the Netherlands, Poland, Portugal, Romania, Slovenia, Spain, Sweden, Switzerland, and the United Kingdom
  • Oceania: Australia and New Zealand

The manufacturer specifically lists Slovakia as unsupported. North America and Europe use different regional versions of the device, so before buying, choose the version that matches the region where you'll use it. The current list of countries is confirmed in Mobvoi's official TicNote Pods launch announcement.

Outside supported countries, Pods 4G can still work over Wi‑Fi just like the regular version.

If you'll mostly use the device where 4G isn't supported, we recommend TicNote Pods Wi‑Fi. If you need the 4G version, write to us at support@ticnote.eu.

How long does the TicNote Pods battery last, and how do I charge them?

Unlike TicNote Card, which uses a proprietary magnetic cable, the TicNote Pods charging case has a standard USB‑C port. You can charge it with the included cable or any other working USB‑C cable and a regular 5 V power adapter.

To charge the earbuds:

  1. Place both earbuds in their slots in the charging case.
  2. Make sure they're seated properly and touching the charging contacts.
  3. Close the case lid

Fully charging the earbuds takes about two hours, and charging the case itself over USB‑C takes about two hours and ten minutes.

For TicNote Pods Wi‑Fi, the manufacturer states:

  • Up to 5 hours of listening on a single charge of the earbuds
  • Up to 24 hours in total with recharges from the case
  • About 22 hours of continuous device use with Wi‑Fi turned off

For TicNote Pods 4G, battery life depends on data transfer:

  • About 13 hours of active use when recording and uploading audio over 4G at the same time
  • About 22 hours when the mobile network isn't used

The 4G module doesn't accept incoming connections and doesn't stay on in standby. Mobile connectivity only turns on once recording starts and the device needs to send audio to TicNote Cloud. When you're not recording, the 4G module isn't waiting for incoming calls, messages, or other signals, so it doesn't drain the battery in standby.

Actual battery life depends on volume, recording length, number of calls, the quality of the Bluetooth, Wi‑Fi, or 4G connection, and how often files are uploaded to the cloud.

For long in-person recordings, you can leave both earbuds in the charging case: in this mode, the case's own microphones and battery are used. For phone calls, online meetings, and listening, the earbuds are used outside the case and top up whenever you put them back.

How do I start and stop a recording with TicNote Pods?

TicNote Pods automatically choose the right audio source based on where the earbuds are.

For an in-person meeting, lecture, or interview:

  1. Place both earbuds in the charging case.
  2. Close the lid.
  3. Double-tap the touch button on the case

The recording uses the charging case's built-in microphones. To stop, double-tap the case button again.

For a phone call or online meeting:

  1. Take out one or both earbuds and connect them to your phone or computer.
  2. Put the earbuds on.
  3. Double-tap the button on the charging case to start recording

In this mode, TicNote Pods record the audio coming straight into the earbuds, including both sides of a phone call or online meeting. Recording also works if you're using just one earbud.

You don't need to choose the mode manually:

  • Both earbuds in the case: the case microphones turn on to record an in-person meeting
  • One or both earbuds out: the mode for recording phone calls and online meetings is used

You can also control recording from the TicNote app. When you finish, the audio file is saved to the device's internal memory and, when it syncs, is transferred to the app for transcription, translation, summaries, and further work with the AI agent.

TicNote Card voice recorder

What are the main benefits of TicNote Card?

TicNote Card is a standalone voice recorder the size of a credit card and just 3 mm thick. It takes up almost no space, yet it has 64 GB of built-in storage, enough for about 434 hours of audio, and records for roughly 20–25 hours on a single charge.

Card works especially well for in-person meetings, board sessions, interviews, lectures and seminars. You can place it on the table, leave it in a meeting room or lecture hall, or hand it to someone else to record an event while you keep using your phone and TicNote Pods elsewhere.

After the meeting, the recording is transferred to your TicNote AI account, where it's turned into a transcript, a summary and a list of decisions and action items. You can connect both TicNote Card and TicNote Pods to the same account and upload recordings from each device, one after the other, into a single knowledge base.

TicNote Card is the best fit if you want maximum portability, long standalone recording, and the option to leave a dedicated device in a meeting. For frequent phone calls without speakerphone and for online meetings, TicNote Pods are more convenient because they capture sound directly from the audio channel.

How much can TicNote Card store, and how long does the battery last?

The standard TicNote Card has 64 GB of built-in storage. That's enough for about 434 hours of audio, so you can use the device for a long time without clearing its internal storage.

A full charge lasts for about 20–25 hours of continuous recording. Actual battery life depends on how you use the device, the battery's condition, the connection to your phone, and data syncing.

Once files are transferred to the app, your recordings are available in TicNote Cloud. To free up the device's internal storage, you can delete audio files that have already been synced.

For comparison, the entry-level TicNote Lite has 4 GB of storage and holds about 27 hours of audio. It records for about 20 hours on a charge.

Which records phone calls better: TicNote Card or TicNote Pods?

For regular, high-quality phone call recording, we recommend TicNote Pods.

Pods record the sound that reaches the earbuds directly, so both sides of the conversation are captured without turning on speakerphone. Recording works even if you're wearing just one earbud. The same approach works for online meetings in Zoom, Microsoft Teams, Google Meet and other services.

TicNote Pods are less compact than TicNote Card, but they combine several roles in one:

  • A recorder for in-person meetings
  • A device for recording phone calls and online meetings
  • A comfortable work headset for everyday conversations and listening

Thanks to their open-ear design, Pods are barely noticeable during long wear. They don't block the ear canal or create pressure inside the ear. Flexible ear hooks keep them securely in place while you work or move.

To record an in-person meeting, just place both earbuds in the charging case and start recording. The case's microphones turn on automatically.

TicNote Card can also record phone calls, but the quality depends more on your phone model, the volume, how firmly the Card is attached, and whether your phone has a case. Without speakerphone, sound is picked up through the microphone on the back of the Card and through vibrations of the phone's body. An extra phone case can noticeably reduce quality. With speakerphone on, Card records the conversation much better.

So:

  • For frequent phone calls, online meetings and all-around work use, choose TicNote Pods
  • For maximum portability and mostly in-person meetings and lectures, TicNote Card is a great fit

Recording quality also depends on connection stability, how loudly people speak, and the level of background noise.

How far can TicNote record from, and how do I get better sound in a noisy room?

In a quiet room, TicNote Card or the TicNote Pods charging case microphones can pick up speech from up to 10 meters away. For the clearest recording and the most accurate transcription, though, we recommend keeping the device within 1–5 meters of the main speakers.

During a meeting, place the device in the middle of the table, roughly the same distance from everyone. Don't cover the microphone openings, and keep the recorder away from keyboards, dishes, speakers, air conditioners and other sources of noise and vibration.

With TicNote Card, select the ambient sound recording mode. If you're recording with TicNote Pods, leave both earbuds in the charging case. The case's built-in microphones turn on automatically when you start recording.

For TicNote Card, you can adjust microphone gain in the app:

Profile → My TicNote device → Microphone gain.

There are two levels, 24 dB and 36 dB:

  • 24 dB is recommended for most meetings and noisy rooms
  • 36 dB can help with quiet or distant speech, but it also amplifies background sound more

After changing the setting, we recommend making a short test recording. Higher gain is no substitute for good placement: in a loud setting, it's usually better to move the recorder closer to the speakers than to raise the gain.

Once recording is finished, you can open it in the app and use AI voice enhancement, choosing the level of noise reduction you need. It helps reduce background hum, hiss and wind noise, but it can't fully remove loud music, strong gusts of wind or several people talking at once.

Outdoors, place the device as close to the speakers as possible and shield the microphones from direct wind. For phone calls and online meetings in noisy places, TicNote Pods are the better choice: sound reaches the earbuds directly from the audio channel and is much less affected by the noise around you.

Can I record Zoom, Microsoft Teams and Google Meet meetings?

Yes. To record online meetings, you can use TicNote Pods, TicNote Card or the TicNote extension for Chrome.

TicNote Pods are the most convenient option. The earbuds record the sound that reaches them directly, so they work with Zoom, Microsoft Teams, Google Meet and other services. Once the recording is transferred, TicNote AI creates a transcript, a summary and a list of key decisions and action items.

TicNote Card can record an online meeting if the audio plays through your computer's or phone's speakers. Place the device nearby and switch on ambient sound recording mode. If you're listening through regular headphones or a headset, Card can't hear the sound inside them and won't be able to record the conversation properly.

TicNote web lets you install a Chrome extension and record meetings held in the browser on your computer. This works for the web versions of Zoom and Microsoft Teams, Google Meet and other browser-based services, with no separate recording device needed.

After recording, everything syncs to TicNote Cloud, where you can use transcription, translation, summaries and the AI agent.

How do I attach TicNote Card to my phone?

The TicNote Card recorder itself has no magnetic mount. To attach it to your phone, first place it in the included TicNote Card case. The magnet, compatible with MagSafe, is built into the case. The case also has an opening for the microphone on the back of the recorder.

For iPhones with MagSafe (iPhone 12 and newer), simply attach the case with TicNote Card inside to the back of your phone.

For Android phones and older iPhones, use the magnetic ring included in the box:

  1. Clean and degrease the back of your phone.
  2. Stick the magnetic ring where you want the device to sit.
  3. Make sure the ring is firmly attached.
  4. Attach the case with TicNote Card inside to the ring

Important: the quality of phone call recordings without speakerphone can drop noticeably if your phone has an extra case on it. The microphone is on the back of TicNote Card, so any extra layer between the phone and the recorder weakens the sound and vibrations that reach it.

If you plan to record phone calls without speakerphone regularly, we recommend attaching the TicNote Card case, with its microphone opening, directly to your phone without an extra phone case.

For frequent, top-quality phone call recording, TicNote Pods are the better choice. They record the sound that reaches the earbuds directly and cover all the main scenarios: phone calls, online meetings and in-person conversations. In-person meetings are recorded with the microphones in the Pods charging case.

How do I set up TicNote Card for the first time?

Before first use, fully charge the device, then follow these steps:

  1. Install the TicNote app from the App Store or Google Play.
  2. Create an account or sign in to an existing one.
  3. Turn on Bluetooth and grant the app the permissions it needs.
  4. Press and hold the TicNote Card power button for about two seconds until the device turns on.
  5. In the app, tap + Add device, select TicNote Card and follow the on-screen instructions.
  6. Once pairing is complete, install the suggested firmware update if one is offered

To test it, press and hold the device button for about two seconds to start recording. Press and hold again to stop. Once connected to your phone, the recording syncs to the app, where you can create a transcript and summary.

You can link both TicNote Card and TicNote Pods to one TicNote account. In the app, you can switch between devices and transfer recordings from each in turn. Everything is saved in your account's shared knowledge base and is available in the mobile app and on the web.

Each device is linked to a user account. Before giving away or selling TicNote Card or TicNote Pods, unlink the device from your account in the app.

What does the mode switch on TicNote Card do?

The switch changes the recording mode and which microphones are used, depending on the situation.

  • Phone call mode: the upper position, marked with an earphone or ear icon. In this mode, TicNote Card uses its vibration microphone and the microphone on its body. To record, place the device in the dedicated TicNote Card case and attach the case to the back of your phone.
  • Ambient sound mode: the lower position, marked with a speaker icon. This turns on the omnidirectional microphones designed for in-person meetings, lectures, interviews and conversations in a room. In this mode, you can place the device on the table near the participants.

Check the switch position before you start recording. The wrong mode can noticeably reduce sound quality. For example, phone call mode isn't suitable for recording a meeting in a room.

TicNote Pods don't need a separate mode switch. If you start recording while both earbuds are in the charging case, the case's microphones turn on automatically. This mode is for in-person meetings and conversations in a room. If one or both earbuds are out of the case, Pods record phone calls and online meetings using the sound that reaches the earbuds.

How do I charge TicNote Card without a USB‑C port?

Because its body is just 3 mm thick, TicNote Card has no standard charging port. It charges through magnetic contacts using the dedicated cable included in the box.

Line up the cable's magnetic connector with the contacts on TicNote Card, and plug the other end into a regular USB adapter, a computer or a power bank. A full charge takes about two hours.

Before connecting, make sure the charging contacts are clean and dry. Don't use damaged or untested third-party cables: we can't guarantee their compatibility or safety for the device.

The original charging cable isn't sold separately yet, so we recommend keeping it with your TicNote Card. If your cable is lost or damaged, write to us at support@ticnote.eu.

TicNote Pods don't have this limitation: their charging case has a standard USB‑C port.

Which charger should I use for TicNote Card?

To charge TicNote Card, we recommend a power source with an output of 5 V / 1 A.

You can plug the included magnetic cable into:

  • A regular USB wall adapter
  • A computer's USB port
  • A power bank
  • A charger with a USB‑A or USB‑C port, depending on the version of the included cable

The adapter may support a higher maximum current, but it must support the standard 5 V output. Don't use power supplies that force 9 V, 12 V or another higher voltage without automatically negotiating with the connected device.

For safe charging, use the included magnetic cable, keep the contacts clean, and don't connect damaged or untested third-party accessories.

TicNote Pods charge separately through the standard USB‑C port on the charging case.

Can I buy a replacement charger or cable?

At the moment, the manufacturer doesn't sell the original TicNote charger or charging cable separately.

If the included cable is lost or damaged, write to us at support@ticnote.eu and tell us your device model. We'll suggest a suitable way to charge it or help you find out whether a replacement is available.

Third-party charging cables are available, but we can't guarantee their compatibility or safety. TicNote Pods, by contrast, charge their case with a standard USB‑C cable.

TicNote AI app and workspace

What can TicNote AI do?

TicNote AI brings your recordings, documents, projects and AI work together in one workspace. The built-in Shadow AI agent gives you access to leading AI models, lets you pick the right model for the task and budget, and works with all of them through one simple interface.

Many services only process one recording at a time. Shadow AI can work across the entire knowledge base you select:

  • Find facts, decisions and agreements across multiple meetings and documents
  • Compare discussions from different periods
  • Run Deep Research and add the findings to your internal materials
  • Create reports, presentations, PRDs, emails, spreadsheets, HTML pages, podcasts and other finished outputs
  • Pull out tasks, owners, deadlines, risks and next steps
  • Use more than 100 professional templates or your team’s own templates
  • Connect materials from TicNote Card, TicNote Pods, uploaded audio files, documents, photos and notes
  • Give external AI assistants, including Codex, controlled access through TicNote API Skill

You don’t need to move each transcript between different services and explain the context all over again. Everything stays organized by project, and the AI agent only accesses the sources you choose. This way TicNote AI turns separate conversations and documents into long-term working memory for you or your team.

How accurate are the transcripts and summaries?

TicNote AI and the advanced AI models it uses recognize speech well, including speech with a range of accents, and usually deliver higher transcription quality than free smartphone apps.

Accuracy depends on the quality of the original recording: background noise, distance to the speakers, and how loud and clear the speech is. If you often record phone calls or online meetings, we recommend TicNote Pods, as recognition quality will be much higher than with the call recording mode on TicNote Card. The system separates the conversation by speaker, and you can review and edit the final text in the app.

For complex medical, legal or technical terminology, we recommend checking the transcript and adding terms and names to the glossary in the app settings in advance, which helps the system recognize them more accurately. The summary is created from the template you choose and quickly gives you the key points, decisions and next steps without listening to the whole recording again.

Which languages does TicNote support?

TicNote AI supports transcription and translation in more than 120 languages. It can recognize speech, separate the conversation by speaker, translate finished transcripts and create summaries in the language you choose.

Real-time translation during recording supports more than 20 languages. The confirmed list includes:

  • English
  • Chinese
  • Cantonese
  • French
  • German
  • Spanish
  • Portuguese
  • Italian
  • Greek
  • Turkish
  • Arabic
  • Hindi
  • Indonesian
  • Korean
  • Japanese
  • Vietnamese
  • Russian
  • Thai

Real-time translation appears on the app screen during the conversation. When the recording ends, you can get a full transcript, translation and meeting summary. The Shadow AI agent also works with materials in other languages and can search them, answer questions and create new documents based on them.

The list of real-time translation languages keeps growing.

Can TicNote translate speech in real time?

Yes. While recording, TicNote AI can recognize foreign-language speech and show its translation into your language right on the app screen.

Real-time translation supports more than 20 major languages, including English, Chinese, German, French, Spanish, Italian, Portuguese, Japanese, Korean, Arabic, Turkish and others.

You can choose the display mode that suits you:

  • Translation into your language only
  • Original-language text only
  • Original text and translation side by side

The translation is shown as text and is not read aloud. Real-time transcription and translation require an internet connection on your smartphone.

After the meeting, the audio recording and transcript are saved. You can translate them again, create a summary in your language or analyze them with the Shadow AI agent.

The feature works both when recording with TicNote Card and when using TicNote Pods. Pods are especially convenient for phone calls, online meetings and conversations with people who speak other languages.

Can TicNote AI translate and process videos?

Yes. You can’t upload the video file itself to TicNote, because video takes up much more space in the free cloud storage, but you can:

  • Upload the audio track extracted from the video to TicNote
  • If the video is on YouTube, add its link in TicNote Web and the system will extract the audio for transcription
  • Play the video on a computer or TV and record the sound with TicNote Card or the microphones in the TicNote Pods charging case (including at increased playback speed)
  • Play the video through TicNote Pods and record the sound coming into the earbuds

While watching with recording on, you can read real-time translation from 20 languages or original-language subtitles right on the app screen. When the recording ends, TicNote AI will prepare a transcript, translation and summary of the video.

The result is saved to your knowledge base. You can then ask the AI agent questions about it, find specific passages and create additional documents.

Can I add photos and notes while recording?

Yes. During a recording, you can add photos, text comments and highlights of important moments in the TicNote app.

For example, you can take a photo of:

  • A presentation slide
  • A whiteboard with notes or a diagram
  • A document being shown
  • A product or equipment sample
  • A drawing, blueprint or object being discussed in the meeting

The photo is saved with the meeting materials and linked to the matching moment in the recording and transcript. Later you can not only see the image but also quickly recall what people were discussing when it was taken.

During a recording, you can also:

  • Add short text notes
  • Highlight especially important passages
  • Save timestamps to quickly jump back to the right spot
  • Capture questions or ideas to follow up on later

This is especially useful for lectures, presentations, off-site meetings, site visits and whiteboard sessions. It brings audio, text and visual context together in one place, so you don’t have to match photos to your notes separately.

To add photos and notes during a meeting, keep your smartphone nearby with the recording open in the TicNote app. The device keeps recording audio on its own, but photos are taken and added through the smartphone.

Can I choose which recordings get transcribed?

Yes. You can turn off automatic transcription in the TicNote app settings and decide for yourself which recordings to process.

This doesn’t affect the device’s basic functions. TicNote Card and TicNote Pods will still:

  • Record audio
  • Save files to internal memory
  • Transfer them to the app and TicNote Cloud
  • Let you play, export and share recordings that haven’t been transcribed

Until you start transcription, no free minutes are used for that audio file.

To process a recording, open it in the app, tap the button to create a transcript and choose the settings you need. Before you confirm, TicNote shows the approximate number of minutes that will be used.

This mode is especially handy if you record many conversations but only need full transcripts for some of them. Before starting transcription, you can remove long pauses, unimportant passages or extra parts of the recording to make your monthly allowance go further.

Transcription minutes are used for transcription and related audio processing, while AI credits are used for additional tasks you give Shadow AI. Simply creating and storing an audio recording uses neither transcription minutes nor AI credits.

Can I trim or merge recordings before transcribing them?

Yes. Before sending a recording for transcription, you can edit it right in the TicNote AI app.

You can:

  • Manually remove unwanted passages
  • Trim the start and end of the recording
  • Automatically remove long pauses with Smart Cut
  • Merge several separate recordings into one

This is especially convenient for conferences, lectures and seminars made up of several parts. You can cut breaks, equipment setup and side conversations, and merge the meaningful parts into one recording. The system will then create a single transcript and one summary of the whole event.

Merging is also useful for short voice notes and thoughts recorded at different times: you can combine them into one file and then get a coherent text, summary or other output.

Transcription minutes are counted by the length of the audio sent for processing, so removing pauses and unwanted passages first helps you avoid spending your allowance on parts with no useful information.

Editing and merging are software features of the TicNote AI ecosystem. They work with recordings from TicNote Card, TicNote Pods and other compatible devices, as well as with uploaded audio files.

Are there summary templates, and can I make my own?

Yes. Before creating a summary, you can choose a template that fits the type of conversation and the result you want.

TicNote offers more than 100 ready-made templates for different scenarios, including:

  • Business meetings
  • One-on-one meetings
  • Client negotiations
  • Sales and objection handling
  • Job interviews and interviews
  • Lectures and classes
  • Legal and medical consultations
  • Project and product discussions

A template doesn’t change what’s in the transcript; it defines the structure of the final document. For example, TicNote AI can pull out separately:

  • Key points
  • Decisions made
  • Tasks, owners and deadlines
  • Open questions
  • Risks and objections
  • Next steps

Pro and Business plan users can create their own templates. You can set the sections, document format and instructions for the AI in advance, for example to always build a task table, record each side’s commitments separately or write a short summary for a manager.

Custom templates are especially useful for teams: all minutes, sales reports, interviews or consultations follow one format, no matter who ran the meeting.

Basic templates are available on the free plan and the plan included with the device. Access to advanced and custom templates depends on your current plan.

Does TicNote tell speakers apart, and can I edit the transcript?

Speaker separation and transcript editing are software features of the TicNote AI ecosystem, not features of any single recording device.

They apply to materials from TicNote Card, TicNote Pods and other compatible devices in the ecosystem, as well as to recordings and files added to TicNote Cloud.

During transcription, TicNote AI automatically separates speech by speaker so it’s clear who said what and when.

At first, participants get placeholder labels such as “Speaker 1” and “Speaker 2”. Once the recording is processed, you can:

  • Give each participant a name or job title
  • Fix a wrongly assigned speaker
  • Merge passages that belong to the same person
  • Split lines the system wrongly assigned to one participant
  • Search by speaker
  • Jump from a passage of text to the matching spot in the audio

Once you name a participant, TicNote AI can remember their voice and use that label when processing later conversations. This is especially handy for regular meetings, interviews and project work with the same people.

You can also edit the transcript text by hand. The editor offers:

  • Correcting individual words and phrases
  • Find and replace
  • Undo and redo
  • Edit history
  • Playing the original audio passage to check the wording

For difficult surnames, company names, professional terms and abbreviations, we recommend filling in the glossary in the TicNote AI settings in advance. This helps the system recognize specialized vocabulary more accurately, whichever device the recording came from.

Speaker separation quality depends on the source audio. If several people talk at once, sit far from the microphone or there’s a lot of noise, some labels may need manual correction. For legally significant documents, medical records and verbatim quotes, always check the final transcript against the audio.

Can TicNote AI analyze documents together with my recordings?

Yes. TicNote AI is a multimodal knowledge base where you can combine recorded conversations with documents and other work materials.

You can add to a single project:

  • Audio recordings from TicNote Card, TicNote Pods and other compatible devices
  • Meeting transcripts and summaries
  • Previously recorded audio files and audio tracks extracted from video
  • PDFs and other supported text documents
  • Photos, notes and other project materials

Once uploaded, Shadow AI can analyze a single file, a selected folder, several materials or the whole project at once.

For example, you can ask the AI agent to:

  • Compare a contract with what was discussed in a meeting
  • Find gaps between a technical specification and what the team agreed
  • Collect decisions from several meetings
  • Compare interviews with different respondents
  • Prepare a combined report on documents and conversations
  • Find evidence for a specific fact in the source materials
  • Quickly bring a new team member up to speed on a project’s history

Answers are based on the materials you select, so you can go back and check any finding against the source document, transcript or audio passage.

The number of documents you can import, the maximum file size and the amount of AI agent work available depend on your plan.

How do I share recordings, transcripts and summaries?

Yes. You can share materials from the TicNote AI ecosystem in several ways, depending on whether the recipient needs the original audio, the full text or just the key takeaways.

You can:

  • Create a web link to the material
  • Copy a transcript or summary with one tap
  • Export the audio recording
  • Download a transcript, summary or mind map in a suitable format
  • Give team members access to materials in a shared project

A web link is convenient when the recipient just needs to look through the material in a browser without you sending a large audio file. For further editing or archiving, you can export the audio, transcript or summary as a separate file.

These options work with materials from TicNote Card, TicNote Pods and other compatible devices, as well as with files added directly to TicNote Cloud.

When working as a team, you can bring recordings, transcripts, documents and summaries together in a shared project. Members with access can review the meeting history and use the collected materials within their permissions.

Before sending confidential materials, we recommend reviewing the transcript and summary, removing personal or restricted information and making sure only the right people get access. Your TicNote AI workspace is private by default; only the owner of a material can publish or share it.

Which export formats are available?

In TicNote, the export format depends on the type of material:

  • Audio recording: WAV
  • Transcript: TXT
  • Summaries, minutes and other text materials: Markdown, DOCX (Word) or PDF
  • Mind maps: PNG or XMind

Exported transcripts can keep timestamps and speaker labels. You can also share materials through the TicNote workspace, and integrations with services including Notion and Slack are available for further collaboration.

If you need SRT or VTT subtitles, export the transcript to TXT first and then convert it with a subtitle editor. Formats and available integrations may vary by app version and plan.

What's the difference between transcription minutes and AI credits?

TicNote AI uses two separate allowances: transcription minutes and AI credits.

Transcription minutes are counted by the length of the recording being processed. Standard processing includes:

  • Transcription with speaker separation
  • Translation
  • A summary based on the template you choose
  • Key decisions and tasks
  • A mind map and Aha Moments

So the 600 free minutes each month give you not just the text but the full standard set of materials for the recordings you process.

AI credits are used for additional custom tasks: analyzing several meetings and documents, Deep Research, and creating reports, PRDs, presentations, HTML pages, podcasts and other outputs on request.

Credit use depends on how complex the task is, how much context is analyzed and which AI model you choose. Lighter models use fewer credits, and more powerful ones use more.

If you run out of credits but still have minutes, standard transcription and summaries keep working. If you run out of minutes, you can still use TicNote Card and TicNote Pods as voice recorders to record, store, play and share audio without AI processing.

Can I use TicNote on a Mac or a Windows computer?

There’s no separate app for macOS or Windows yet. On a computer, you can use the full-featured TicNote web version at ticnote.com, which syncs with the mobile app and is convenient for professional use.

All your meetings, transcripts, summaries and knowledge base materials, as well as all chats and AI agent work, are available in a browser on any device.

Can I connect TicNote to Codex or other AI assistants through the API?

Yes. Pro and Business plans include the official TicNote API Skill, which lets you connect your TicNote knowledge base to Codex and other AI assistants that support external API tools.

Once connected, you can give the AI assistant plain-text tasks, for example:

  • Find meetings from a certain period
  • Prepare a summary of decisions and tasks
  • Analyze a selected recording or transcript
  • Find information across several projects and documents at once
  • Upload an audio recording and start transcribing it
  • Translate or summarize materials
  • Run Deep Research across several sources
  • Find recordings without summaries and process them
  • Sort materials into projects and keep your knowledge base tidy
  • Create a document or other finished output

To connect:

  1. Open the official TicNote API Skill page.
  2. Copy the installation instructions provided and give them to Codex or another compatible AI assistant.
  3. Get your personal API key in your TicNote profile.
  4. Give the key to the assistant and finish the setup

You can then work with your TicNote materials directly from a chat with the AI. For example: “Find all my meetings this week, pull out the decisions made and put together a single task list.”

TicNote API Skill doesn’t mean your own subscription to ChatGPT, Gemini or another AI service replaces your TicNote plan. The external assistant gets controlled access to TicNote features and materials, while transcription, summaries and other operations still run within the features and limits of your current TicNote plan.

Your personal API key gives access to your account data, so never publish it, send it to others or connect it to untrusted services.
